Reports and taxes
Summaries, CSV and PDF exports, rates, and tax-season record-keeping.
Viewing your reports
MileLedger offers reports on phone and at mileledger.com. The phone app's Reports tab gives you period-filtered cards, a mileage journey, an expense snapshot, and export options. The web dashboard at /app/reports shows four summary tiles and a one-click CSV download.
Mileage journey card
The mileage journey card on the iOS Reports screen shows total, business, and personal miles for the selected period, plus a per-mile value estimate. Numbers update live when you change the period chip.
Expense snapshot
The expense snapshot on the iOS Reports screen gives a quick total of logged expenses for the chosen period and highlights expenses that are missing receipts.
Monthly and yearly reports
MileLedger lets you slice your records by common time periods on iOS, and by year on the web. Period chips on the iOS Summaries screen cover This Year, Last Year, and All Time. The full report sheet adds This Month, Last Month, This Quarter, This Year, and a custom date range.
How business-use mileage is calculated
MileLedger sums the distance of every drive you have categorized as Business and divides it by the total distance of all categorized drives to derive your business-use percentage. Only categorized drives count — uncategorized drives are excluded from both numerator and denominator.
Reimbursement estimates
MileLedger can display per-mile estimates calculated using one of three rate kinds: Tax Deduction Estimate, Employer Reimbursement, or a Custom rate you define. These figures are estimates — the app does not determine what you are actually owed or entitled to deduct.
Configurable mileage rates
MileLedger stores mileage rates as records with a kind, a label, a dollars-per-mile amount, and an effective date range. Three kinds are supported: Tax Deduction Estimate, Employer Reimbursement, and Custom. The app ships with a $0.70/mi seed rate as an illustrative default.
Exporting your reports
MileLedger offers three export presets on iOS: Accountant CSV (free), Schedule C style (Premium), and Share This Period (Premium). The web app downloads a free CSV at any time. PDF exports require Premium on iOS.
PDF vs CSV — what's free and what requires Premium
CSV exports are available to everyone. The Accountant CSV preset is always free. Premium unlocks the Schedule C style CSV, the date-range Share preset, and PDF report generation.
Preparing your records for tax time
A few steps before filing can save time and reduce errors. This guide walks through reviewing categorizations, attaching missing receipts, verifying your mileage rate, and exporting your records.
App estimates vs tax deductions
MileLedger calculates estimates based on your logged data and the rate you configure. These estimates are not tax deductions. Whether an expense or a drive is deductible — and for how much — is determined by the IRS and your tax professional, not by MileLedger.
