Configurable mileage rates

MileLedger stores mileage rates as records with a kind, a label, a dollars-per-mile amount, and an effective date range. Three kinds are supported: Tax Deduction Estimate, Employer Reimbursement, and Custom. The app ships with a $0.70/mi seed rate as an illustrative default.

Rate kinds

Tax Deduction Estimate — use this kind for an IRS-style standard mileage rate. Reports labeled with this kind are intended for personal tax preparation reference. The app defaults to $0.70/mi; update it to match the IRS rate for your tax year.

Employer Reimbursement — use this kind if your employer reimburses at a fixed rate per mile. Reports using this rate show what you might submit to your employer.

Custom — any other per-mile rate. Useful for state-level rates, client billing, or your own bookkeeping.

Adding a rate

Open **More → Mileage Rates** (or Settings → Per-Mile Rates).

Choose the estimate type (Tax deduction, Employer reimbursement, or Custom), enter the $/mi amount, an optional label, and Effective From, then save.

Saving creates a new effective period; earlier open-ended rates for that type are closed the day before.

Setting the active rate

Pick the estimate type on the Mileage Rates screen. Reports and drive estimates use the rate whose effective dates cover each drive’s start date.

Tax deduction and employer kinds fall back to the seeded IRS business rate when no stored period covers the day. Custom rates do not — set a custom amount before relying on those estimates.

How estimates use your rate

MileLedger multiplies **displayed miles** (1 decimal, truncated) by the rate, then **truncates to cents** — it never rounds mileage dollar estimates up. Example: 3.5 mi × $0.77 → $2.695 → **$2.69**.

Editing or deleting a rate

Use History on the Mileage Rates screen (long-press / context menu) to reuse a period in the form or delete it.

Deleting a period does not change past trips; future estimates use the next matching rate for that type.

Important notes

  • MileLedger does not provide tax advice. Verify official IRS standard mileage rates at irs.gov for your tax year.
  • Mileage rates are stored locally and synced to your account if you are signed in. Deleting a rate removes it from all synced devices.
