Preparing your records for tax time
A few steps before filing can save time and reduce errors. This guide walks through reviewing categorizations, attaching missing receipts, verifying your mileage rate, and exporting your records.
Steps
- 1
1. Categorize all outstanding drives
Open the Drives tab and filter by Uncategorized. Categorize each drive as Business or Personal. Only Business drives count toward your mileage report.
- 2
2. Attach missing receipts
On the Reports screen, check the expense snapshot for a missing-receipts count. Tap it to open a filtered list and attach photos or scans to each expense.
- 3
3. Verify your mileage rate
Go to Settings → Mileage Rates and confirm the Tax Deduction Estimate rate matches the IRS standard mileage rate for the tax year you are filing. The app default is $0.70/mi — update it if needed. Check irs.gov for the official rate.
- 4
4. Review the date range
On the Reports screen (or full report sheet), select the period that matches your tax year (typically January 1 – December 31) to ensure all relevant drives and expenses are included.
- 5
5. Export your records
Use the Accountant CSV preset (free) or Schedule C style CSV (Premium) to generate a file to share with your tax preparer. Alternatively, export a PDF (Premium) for your own records.
- 6
6. Share with your tax professional
Use the iOS share sheet to send the exported file via AirDrop, email, or your preferred file-sharing service. MileLedger does not submit records to the IRS or any tax agency on your behalf.
Important notes
