How MileLedger works

MileLedger captures drives on your phone, lets you attach expenses to trips, and compiles everything into reports you can export. Here's how the pieces fit together.

Step 1 — Track drives

Every business or personal drive you make can be recorded in MileLedger. The app supports automatic mileage tracking, which detects when you're driving and logs the trip in the background, as well as manual entry if you prefer to add trips yourself.

Each drive stores the date, distance, start and end location, vehicle used, and a business/personal categorization. You can add a note to any drive for extra context.

Step 2 — Log expenses

Work-related spending — fuel, parking, tolls, supplies, meals, and more — can be logged in the Expenses tab. Each expense records the amount, merchant, category, date, and an optional note or receipt image.

Expenses can be linked to a specific drive, making it easy to associate a parking charge or toll with the exact trip it belongs to.

Logging expenses requires a Google Sign-In account. Free accounts can store up to 10 expenses; Premium removes this limit.

Step 3 — Categorize trips and expenses

MileLedger lets you label each drive and each expense as business or personal. This categorization is the foundation of accurate reporting. Only business-categorized drives and expenses appear in business reports.

Accurate categorization is especially important if you plan to use your records for tax deductions or reimbursement claims. MileLedger makes it easy to review and update categorizations at any time.

Step 4 — Manage vehicles

You can add one or more vehicles to MileLedger and set a default for new drives. Each vehicle stores a nickname, make, model, year, licence plate, and odometer reading. Associating drives with the correct vehicle keeps your records accurate, particularly if you use multiple cars for work.

Step 5 — Generate reports and export

The Reports tab summarises your drives and expenses by time period, vehicle, or category. You can export your data to CSV at any time on both Free and Premium plans. Premium users can also export a formatted PDF report, which is convenient for sharing with an accountant or submitting a reimbursement claim.

The web app at mileledger.app/app gives you browser-based access to the same data and CSV export without opening the phone app.

How sync works

When you sign in with Google, MileLedger syncs your drives and expenses to Firebase in the background. Changes made on your phone appear in the web app automatically. If you get a new phone and sign in with the same Google account, your data is restored.

Data is stored locally first — everything you record is saved on your device instantly, even without a network connection. Sync happens when connectivity is available.

Important notes

  • Recording drives and expenses always happens in the phone app. The web app is view-only.
  • Expense logging requires a Google account sign-in.
  • Consult a qualified tax professional before using mileage records for tax deductions.
