Handling expenses with missing receipts

MileLedger does not require a receipt to save an expense, but it may display a soft policy hint for categories where receipts are commonly expected. You can always save without a receipt.

Policy hints

For certain expense categories — most commonly Meals & Entertainment — MileLedger may display a soft hint such as "Consider adding a receipt for this expense." This is informational only.

You are not blocked from saving. Tap Save to proceed without a receipt.

Documenting a missing receipt

If you do not have the original receipt, consider adding a note explaining the purchase (e.g., 'Lost receipt — client lunch at Aria Restaurant, $62.50 total').

Some organizations accept a written explanation or alternative documentation such as a bank or credit card statement. Export your MileLedger expenses as a PDF or CSV and attach supporting statements.

Tax implications

Tax authorities in many jurisdictions require receipt documentation for business expense deductions above certain thresholds. Missing receipts can put deductions at risk during an audit.

MileLedger cannot advise on the tax treatment of missing-receipt expenses. Consult a qualified tax professional.

Important notes

  • Tax disclaimer: The deductibility of any expense without adequate documentation depends on your local tax laws. Consult a qualified tax professional for guidance specific to your situation.
