Calculate mileage reimbursement

Employer reimbursement is a workplace policy question. Tax deductions (for example, self-employed standard mileage) follow different rules. Do not treat a reimbursement total as a deduction amount.

Reimbursements need records, not just a total.

Keep trip purpose, dates, and miles organized in MileLedger before you submit expenses.

How this tool works

Add each trip’s date, purpose, and miles. Choose an IRS reference rate (based on today’s published business rate) or enter your employer’s per-mile rate. The tool multiplies miles by the selected rate and totals the statement.

Calculation methodology

Formula: reimbursement = Σ (trip miles × selected rate).

The IRS option is a convenience reference only. It does not create an accountable plan or determine tax treatment of payments.

Worked example

Two trips totaling 60 miles at a $0.76 employer rate → estimated reimbursement of $45.60.
