Categorise drives as business or personal

Accurate categorisation is the foundation of a valid mileage deduction. MileLedger gives you several ways to categorize drives: a quick swipe, bulk actions, purposes, work hours, Saved Places, and Smart Routes.

Swipe to categorize (phone)

In the **Drives** list on phone, swipe right on a drive to mark it **Business**, or swipe left to mark it **Personal**. The colour and badge update immediately.

Categorize from drive detail

Open a drive and tap the **Business / Personal** toggle at the top. You can also set a more granular **Purpose** (e.g. Client Visit, Medical, Charity) from the same screen.

Bulk categorization (phone)

Tap **Select** in the Drives list, choose multiple drives, then tap **Categorize** in the toolbar and pick Business or Personal.

You can also assign a shared **Purpose** to all selected drives in one step.

Work hours (leftover drives)

In **More → Work Hours**, set the days and times you usually work, and whether drives in that window should suggest **Business** or **Personal**.

Work hours only apply when a drive does **not** already match a Smart Route or Saved Place. Optional outside-hours suggestions use the opposite category. Suggestions ask you to confirm.

Saved Places (one location)

In **More → Saved Places**, add spots you visit often — home, office, a client site — and optionally a preferred category or purpose.

When a drive **starts or ends** near that place (about **120 m / ~400 ft** by default), MileLedger can suggest that place’s category. Saved Places are about *where*, not the full route.

Smart Routes (a full route)

**Smart Routes** match a **path**: A → B, or any start → a destination. Manage them in **More → Smart Routes**.

You can create one from a trip or add it manually. Specific-location rules match **both directions** (A↔B). Matching uses about **400 m / ~0.25 mi** around each endpoint (and looks at GPS near the start and end of the drive, not just a single pin).

After enough matching trips (or when you turn on auto-apply), future matches can categorize automatically. You can edit, pause auto-apply, or delete any smart route.

Which rule wins?

If more than one automation could apply, MileLedger uses this order: **Smart Route → Saved Place → Work Hours**.

That means Smart Routes handle commuting paths first; Saved Places handle known stops; Work Hours fills in leftover drives.

Important notes

  • Saved Places use a ~120 m geofence around one pin. Smart Routes use ~400 m / 0.25 mi at each end of a route (or destination-only for “any start” rules).
  • Suggestions from work hours and many place/route matches may still ask you to confirm — you can always change the category on any drive.
  • For a plain-language comparison, see **Saved Places vs Smart Routes**.
