Report data is missing or incomplete
If your MileLedger report shows fewer records than expected, the cause is almost always an active filter, a date range that is too narrow, drives or expenses categorized as Personal when they should be Business, or data that has not yet synced from the phone app.
Steps
- 1
Reset the date range to cover the full period
In the Reports tab, tap the date range selector and choose 'This year', 'Last year', or a custom range that includes all the dates you expect to see. Confirm the start and end dates are correct.
- 2
Switch to 'All' categorization filter
Set the categorization filter to 'All' (rather than 'Business only' or 'Personal only') to see every record regardless of how it was categorized.
- 3
Wait for sync (web app)
If you are viewing the web app and recently added records on the phone, open the phone app, confirm it is signed in and connected to the internet, and wait approximately one minute for the sync to complete. Refresh the web app page.
- 4
Review categorization of individual records
If records exist but are categorized as Personal when they should be Business, open each record in the Drives or Expenses tab, tap Edit, change the categorization to Business, and save. The report will update to include them.
- 5
Enable 'Show all' for short trips
In the Drives tab, look for a 'Show all trips' toggle or filter option. Enabling this includes short trips (below the 0.5-mile threshold) that are normally excluded from default views.
Common causes of missing report data
Date range too narrow: the Reports tab shows data only within the selected period. If you are looking for a full year and the range is set to 'This month', prior months will not appear.
Business filter active: if the report is filtered to 'Business only', Personal-categorized drives and expenses are excluded. If some records were incorrectly categorized as Personal, they will not appear in the business report.
Records not yet synced (web app): the web app shows only cloud-synced data. Drives or expenses added recently on the phone may not appear on the web until the next sync cycle completes.
Short trips excluded: drives below the minimum distance threshold may be excluded from summary report views.
Needs Review drives excluded: some report configurations exclude drives with active quality flags until they are reviewed and accepted.
Important notes
- The web app is a view of cloud-synced data only. If the phone app has not synced, the web app will not reflect the latest records.
- Recategorizing drives or expenses from Personal to Business updates both the phone app and the web app (after the next sync).
Common problems
My report covers the right date range but is still missing some entries.
Check the categorization filter and look for any 'Needs Review' or 'Short Trip' flagged drives that may be excluded. Also verify the vehicle filter — if a specific vehicle is selected, drives for other vehicles will not appear.
The summary figures on the Home tab don't match the Reports tab.
The Home tab typically shows the current period (this week or this month) by default. The Reports tab may be set to a different date range. Align both to the same period for consistent figures.
