Receipt Organizer & PDF Generator — guide
The Receipt Organizer & PDF Generator lets you build a structured list of receipt entries in your browser — merchant, date, amount, and category — and export a consolidated expense summary as a PDF. All entries are local to your browser session; no data is uploaded to MileLedger's servers.
What this tool does
The Receipt Organizer is a browser-based entry form for receipt data. You type in each receipt's details — merchant name, date, amount, and category — and the tool builds a running list with category subtotals. When you are done, download a formatted PDF summary that collects all entries into one document.
The tool does not read, scan, or process receipt images. There is no optical character recognition (OCR), no image upload, and no file attachment. You enter the information manually from your physical or digital receipts.
Who it is for
Anyone who needs to submit a consolidated receipt summary to an employer, accountant, or client.
Self-employed individuals who want a quick one-page PDF showing all receipts for a reporting period.
Employees gathering receipts for an expense report who want a single document rather than a folder of images.
Anyone who wants a clean, formatted list of recent purchases without creating an account.
Required and optional inputs
Required per entry — Merchant: the name of the vendor or payee.
Required per entry — Amount: the total amount on the receipt in dollars.
Optional per entry — Date: the date of purchase. Helps with sorting and date-range headers in the PDF.
Optional per entry — Category: a label such as Office Supplies, Meals, Travel, Software, or Other. Categories group entries in the summary.
Optional per entry — Note: a short description for context (e.g. 'Team lunch — project kickoff').
How the calculation works
The tool sums all receipt amounts for a grand total. It also groups entries by category and shows a subtotal per category, so you can quickly see where spending is concentrated.
No tax calculation is applied. The tool simply totals and categorizes the amounts you enter.
Reading your results
The entry list updates as you add receipts. The summary panel shows the total number of entries, category subtotals, and the grand total. Entries can be sorted by date or category.
Review the list carefully before downloading — you cannot edit the PDF after it has been generated.
Downloading your results
Click the PDF download button to generate a formatted expense summary. The PDF includes a header (with date range if dates were entered), a table of all receipt entries (merchant, date, amount, category, note), category subtotals, and a grand total.
Files are generated in your browser and saved directly to your device. No data is transmitted to MileLedger's servers at any point during this process.
Worked example
A consultant adds eight receipts for a client project in March 2026:
Staples — Office supplies — $89.50.
Delta Airlines — Travel — $342.00.
Marriott — Accommodation — $218.00.
Uber — Transport — $34.20.
Restaurant — Client meal — $127.40.
Amazon — Equipment — $199.00.
FedEx — Shipping — $23.80.
Adobe — Software subscription — $54.99.
Grand total: $1,088.89. Categories: Travel $595.20, Office/Equipment $312.49, Meals $127.40, Software $54.99. The PDF is attached to the client invoice.
Assumptions and limitations
This is a manual entry tool only. It does not read receipt images, extract text from files, or connect to bank feeds.
Data entered is not saved between sessions. If you close or refresh the browser tab, all entries are lost. Download the PDF before navigating away.
Currency is assumed to be US dollars. There is no multi-currency conversion.
How MileLedger helps ongoing
The Receipt Organizer handles one-off receipt summaries well. MileLedger's phone app takes this further — you can photograph receipts and attach them directly to expense entries, building a searchable, exportable archive of your spending year-round.

Important notes
- This tool does not perform OCR or process receipt images of any kind. You enter all data manually.
- All entries remain in your browser only. Nothing is uploaded to MileLedger's servers.
- The summary PDF is not a filed expense report or tax document — it is a convenience summary for your own records or submission to an employer.
Common problems
I accidentally closed the browser tab and lost my entries.
Entries are not saved between sessions. For future sessions, download the PDF as you go — especially after adding a large number of entries — rather than waiting until the end.
The PDF download does not start.
Check that your browser is not blocking file downloads from this site. Allow downloads in your browser settings and try again. In Safari, check Safari > Settings > Websites > Downloads.
I need a CSV instead of a PDF.
The Receipt Organizer exports PDF only. For a spreadsheet-compatible format, try the Quarterly Expense Report tool, which offers both CSV and PDF export.
