Gas Cost Calculator — guide

The Gas Cost Calculator estimates how many gallons of fuel a trip requires and what that fuel will cost. Enter the distance, your vehicle's fuel efficiency (MPG), and the current price per gallon — results appear instantly for one-way or round trips.

What this tool does

The Gas Cost Calculator solves a simple, practical equation: given a distance, how many gallons does the trip require and what is the estimated fuel bill? It handles one-way and round trips and is useful for budgeting a long drive, estimating the fuel cost of a client visit before you leave, or understanding the fuel component of a cost-per-mile analysis.

Who it is for

Anyone planning a road trip or client visit who wants to budget fuel costs in advance.

Delivery drivers and contractors estimating the fuel expense of a job before quoting.

Anyone tracking actual vehicle expenses and needing an estimate for a specific journey.

Employees verifying whether a mileage reimbursement adequately covers their fuel spend.

Required and optional inputs

Required — Distance: the trip distance in miles.

Required — Fuel efficiency: your vehicle's miles per gallon (MPG). Use the EPA rating or your observed average. For highway trips use highway MPG; for city driving use city MPG.

Required — Price per gallon: the current or estimated price of gasoline or diesel at the pump, in dollars per gallon.

Optional — Round trip: toggle on to double the distance automatically and calculate total fuel cost for the complete out-and-back journey.

How the calculation works

Gallons needed = distance ÷ MPG.

Fuel cost = gallons × price per gallon.

With round-trip toggle enabled: distance is doubled before applying the formula.

The tool uses your inputs as given — it does not adjust for elevation, traffic, air conditioning, cargo load, or other real-world factors that affect fuel economy.

Reading your results

Results show the total distance used (including return leg if round trip is active), estimated gallons, and estimated fuel cost. These are expected figures assuming consistent MPG throughout.

If your actual MPG varies significantly from the figure entered, the estimate will differ from your real fuel spend.

Worked example

Scenario: Round trip to a client 425 miles away, vehicle averages 30 MPG, fuel is $3.85/gallon.

Round-trip distance: 850 miles.

Gallons needed: 850 ÷ 30 = 28.3 gallons.

Estimated fuel cost: 28.3 × $3.85 = $108.96.

One-way only: 425 ÷ 30 = 14.2 gallons × $3.85 = $54.67.

Assumptions and limitations

MPG is assumed constant for the entire trip. Real-world fuel economy varies with speed, load, terrain, and climate control.

The tool accepts miles as the distance unit. Convert kilometres to miles if needed (1 km = 0.621 miles).

Price per gallon is your estimate — the tool does not connect to live fuel price data.

The tool covers gasoline and diesel only; it does not model electricity costs for electric or plug-in hybrid vehicles.

How MileLedger helps ongoing

The Gas Cost Calculator gives a one-off estimate for any trip. In MileLedger, you can log actual fuel expenses directly against the trip that incurred them, keeping your real fuel spend alongside the mileage record.

Important notes

  • Fuel cost estimates are approximations. Actual fuel spend depends on real-world MPG, which varies by conditions.
  • The tool does not provide live gas price data. Use a source such as GasBuddy or the AAA fuel gauge report for current local prices.

Common problems

My MPG figure is hard to pin down.

Use the EPA estimated MPG for your vehicle (available at fueleconomy.gov) as a starting point, then adjust based on your typical driving. Highway trips typically achieve close to EPA highway MPG; city driving typically achieves EPA city MPG.

I drive an electric vehicle — can this tool help?

The Gas Cost Calculator is designed for gasoline and diesel vehicles. For an EV, the equivalent inputs would be miles per kWh and cost per kWh from your electricity provider. This tool does not support those inputs.
