Mileage calculations

MileLedger calculates your total mileage by summing the distances of all drives that match your report criteria. Reimbursement values are derived by multiplying the total business miles by the applicable standard mileage rate.

How totals are summed

A mileage report totals the distance of every drive that falls within the selected date range and is categorised as Business (or whichever category you filter for).

Drives flagged as **Short Trip** (< 0.5 mi / 804.672 m) are excluded from report totals by default. You can include them by toggling 'Include short trips' in the report settings.

Drives with a **Needs Review** flag are included in totals by default but highlighted so you can review them before filing.

Distance units

MileLedger stores distances internally in metres. The display unit (miles or kilometres) is set in **Settings → Units** and applied consistently across the app and all exports.

Reimbursement calculation

In a mileage report, select the applicable **Rate** (e.g. the IRS standard mileage rate for the tax year). MileLedger multiplies total business miles by the rate to produce the reimbursement or deduction amount.

You can enter a custom rate if your employer uses a different per-mile rate.

Per-vehicle breakdown

If you use multiple vehicles, reports can be broken down by vehicle. Each vehicle's subtotal is the sum of drives associated with that vehicle within the date range.
